Standardise the use of “he”, “him”, “his”, “she”, and “her” in the system as per usual English. If anything else is required then the user can edit or make adjustments on an individual basis. This will assist in the workflow and improve user experience by not needing to make changes either to a document or a template. Standardising anything else in the system only creates extra work.
